Added an Event Planning and Management Module

A new module for running events end to end in HALO: publish events to the self-service portal, take registrations, check attendees in on the door, and follow up by email. Access is controlled by new Event Planning agent permissions.


Events

Create events with a name, description, start and end date, timezone and capacity. Events can be in person, online or hybrid, and online and hybrid events carry a meeting link that attendees see once they have registered.


Events start as drafts so they can be built up privately. Once published, an event's dates, timezone and registration window cannot be changed, and it cannot be returned to draft. If plans change, the event is cancelled with a reason recorded.


  • Draft, published and cancelled statuses, with an event owner and audit history
  • Custom fields on events, including agent-only fields for internal detail
  • Optional registration open and close dates controlling when the portal accepts bookings
  • Clone an event to run it again, carrying its sessions, questions, audience and checklist


Sessions

Events can be broken into sessions for tracks, workshops or time slots, each with its own time, location and capacity. Registrants choose which sessions they want, and each session's capacity is tracked separately from the event's.


  • Per-session capacity, so a full workshop closes while the event stays open
  • Session-level questions (custom fields) and session-level attendance
  • Sessions with active registrations cannot be deleted


Registration questions

Registration forms are built from standard Halo custom fields, so registrants can be asked anything: dietary requirements, accessibility needs, which products they use. Questions can be attached to the event, to individual sessions, or both, and can be made mandatory.


Answers are stored against the registration, appear on the attendee record and in the attendee export, and can be reported on like any other custom field.


Portal registration

Published events appear in a new Events area on the self-service portal, with Upcoming, My Events and Past tabs and a search box. End users can register, change their session selection and cancel their own place without raising a ticket.


  • Event pages show dates, location, remaining capacity, sessions and questions
  • Capacity is live, so a full event stops accepting registrations
  • A user cannot hold two places on the same event
  • Registrations can be changed or cancelled up until the event starts


Portal visibility

Events can be restricted on the portal to selected top levels, clients, sites or individual users. An event with no restrictions is visible to everyone, so existing behaviour is unchanged.


Restrictions resolve up the customer hierarchy. An event restricted to a client is visible to users across all of that client's sites. Anyone already registered keeps access to their own booking if the audience changes later.


Anonymous registration

Events can optionally accept registrations from portal visitors who are not logged in, using just a name and email address. Google reCAPTCHA support and rate limiting are included to prevent automated sign-ups.


A registration using an email address that already belongs to a Halo user is linked to that user automatically and appears in their My Events. For new people, Halo can create a user record at the point of registration, or existing registrants can be linked to users in bulk from the event screen.


Attendee management

Each event has an attendee list with search, sorting, export and bulk actions. Agents are not bound by the portal's restrictions and can add attendees before registration opens, after it closes, and beyond the event's capacity.


  • Add attendees as an existing user or as a name and email address
  • Cancel, reinstate or delete registrations, with capacity corrected automatically
  • Bulk mark attended or not attended, at event or session level, and bulk cancel
  • Import a spreadsheet to create and update attendees, sessions, answers and attendance
  • Export the attendee list including all question answers


Check-in and attendance

A dedicated check-in screen supports checking attendees into the whole event or into a specific session, either by scanning the QR code from their confirmation email or by searching for them by name. Attended and registered counts update on screen as check-ins are recorded.


Duplicate check-ins, cancelled registrations, codes from other events and sessions the attendee did not book are each refused with their own message. Attendance records who checked the attendee in, when, and by which method.




Emails and variables

A confirmation template and a cancellation template can be set on each event, and are sent automatically as attendees register and cancel. Fifteen new email variables are available for use in templates.


  • Event name, description, dates, location and online URL
  • Attendee name and email address, registration reference, status and registered date
  • A table or plain-text list of the sessions that attendee booked
  • A QR code image for check-in
  • A cancellation link that works without logging in
  • All fifteen are listed on the Variables screen under the new Event type, with descriptions.


Distribution lists and mail campaigns

Event registrants are available as a distribution list entity. A list can be built from an event, optionally including cancelled registrations, then emailed individually or by BCC, or used as the audience for a blast mail campaign. Each recipient's own event details, session list and cancellation link are merged into their copy.


Unsubscribes and marketing opt-outs are honoured as for any other campaign. Registrants without a linked user record are not included; the event screen reports how many there are.


To-dos and attachments

Events have a to-do checklist and file attachments, so planning is kept with the event. Completing a to-do records who completed it and when.


Setup

  • Enable the Event Planning module in Module Setup
  • Grant the Event Planning read and edit permissions to the relevant agent roles
  • Add an Events button to the self-service portal
  • Create confirmation and cancellation email templates and set them on each event
  • For anonymous registration, allow not-logged-in portal usage and configure the Google reCAPTCHA integration
  • Add Event Level, Event Registration, and Event Session custom fields in custom fields configuration as required


Notes

  • Restricted events are hidden from visitors who are not logged in, so portal visibility restrictions and anonymous registration cannot be used together on the same event.
  • There is no waitlist in this release; a full event stops accepting registrations until a place becomes available.
  • Attendees can cancel their own place up until the event's start time. After that, only an agent can cancel.
